Email campaigns are a must for every company that respects itself and its customers. How else would a customer be able to know what the upcoming changes or updates will be? Email has become one of the most important ways of communication in these last two decades and should not be ignored.
Teamleader knows this as well, that's why we offer an integration with Campaign Monitor.
Campaign Monitor works via the same principle as MailChimp. It sends nicely lay-outed email campaigns through different customized lists. Thanks to the integration, you can immediately use your custom-made segments from your Teamleader account. We’ll explain how this works.
A Campaign Monitor account
Before you begin, you need to create a Campaign Monitor account. You can simply activate one on the website: www.campaignmonitor.com. Choose the pricing plan that fits your company best. When you have your account, you can integrate it with Teamleader.
Linking Campaign Monitor to Teamleader
As all of the third-party integrations in Teamleader, you can also find Campaign Monitor in the "Integrations/Marketplace". When you click on the purple Campaign Monitor icon, a new window will appear. You can check the “I have a Campaign Monitor account already” box and enter your login details. To test your connection, just click “test connection”. If successful, a green check symbol will appear. Congratulations! You now successfully linked your Campaign Monitor account to Teamleader!
Now we can get started.
Your segments in Campaign Monitor
As soon as you’re linked to Campaign Monitor, you can start synchronizing your segments. Using those segments it’s easier to mail your campaign to a specific part of your contact list. For example, you want to send a campaign specifically to your customers in Germany. Simply create a segment in Teamleader based on country and choose to make this segment available in Campaign Monitor. Teamleader will then synchronize this segment.
To synchronize your segments for the first time, you can click the rotation symbol on top of the screen (remember: you have to be in the CRM module to do this!). You only need to do this manually once: when adding new contacts afterwards, Teamleader will automatically synchronize these at night. When the synchronization is completed, you will find three lists in Campaign Monitor: Teamleader companies, Teamleader contacts and Teamleader users (users of your Teamleader account). To find your segments in these lists, click on one of these lists and choose ‘Segments’ on the right hand side.
It is possible the segment you created in Teamleader isn’t exactly the same as the segment in Campaign Monitor. The reason for this is that Campaign Monitor uses different criteria that may cause some differences:
• Only contacts with an email address will be exported. Contacts in your Teamleader segment without an email address will not appear in Campaign Monitor.
• The email address is a unique key. If an email address appears multiple times in Teamleader, Campaign Monitor will only use this once.
• Recipients can always unsubscribe from your campaigns. They will be excluded from the CM segment, but will remain in your Teamleader segment.
• The same goes for bounced email addresses. When a recipient cannot be reached (this can happen for multiple reasons), the address will also be excluded from CM, but not in Teamleader.
The number of email addresses can also be higher in Campaign Monitor than the contacts listed in your Teamleader segment. This can happen when you have a custom field to enter a second email address in Teamleader. CM will recognize each of these email addresses as a unique key.
Sending a campaign to the right people
After linking your account and importing your contacts, it’s just a matter of selecting the right segments to send your emails to! To create a new campaign, choose for ‘Create and send’ in the navigation. There you can click ‘Create a new Campaign’. You can choose between different kinds of campaigns.
Once you chose a campaign and entered your content, the next step is to choose your contacts. You will see all of your imported Teamleader segments, but you can also choose to add email addresses manually. When you have defined all of your recipients, you’ll see one final overview. Click on ‘Test and define delivery’ to continue and send your campaign. You can choose to send it immediately or pick a future date on which you want the campaign to be sent.
What after you've sent your campaign? Teamleader gathers some data from the sent campaigns and pushes it to your CRM database. From the moment you've activated the link with Campaign Monitor, a new module shows up below 'CRM'.
In 'Mailing' you can find recently sent campaigns with some data such as the total amount sent, unique and total opens, number of clicks, unsubscribers and bounces.
In that last case, Teamleader will add these email addresses to a list of 'invalid emails'. In this list you can choose to edit the email address (if you know the correct one), or to just remove the address out of your database completely.
