As from January 2019 Italian law requires you to send and receive e-invoices through a certified platform. We teamed up with a certified partner and created an integration that will allow you to be compliant with Italian law. If you haven't installed our integration yet please read here. 


In this article we will explain how to send e-invoices in the appropriate .xml format to the Italian Tax Agency and how to manage: 

  • the e-invoices that you received from a supplier
  • your digital signature
  • the storage of your invoices


Create an invoice in Teamleader Focus


As you probably already know, there are several ways of creating an invoice in Teamleader Focus. You can:

  • create an invoice from scratch by clicking on the '+' sign in the invoicing module
  • invoice a deal when your customer has accepted your quotation
  • invoice a project 
  • invoice time tracking 
  • create an invoice from a subscription

Check your invoice in YouDOX


When you've created an invoice in Teamleader Focus and you click on Save and book or Book, the invoice will be automatically synced to YouDOX in the correct format. 

  • the customer's data will be automatically synced to the portal as well
  • the products on your Teamleader Focus invoice will be added automatically on the e-invoice. 


All the invoices that you have saved and booked in Teamleader Focus will be added to 'Invoices in progress' in YouDOX.


Before sending the invoice to the Tax Agency, you will have the possibility to revise all the data on the invoice and you will have to:

  •  Fill in your 'codice destinatario' (the Addressee Code), the PEC (certified e-mail) and all the other required fields (*).

IMPORTANT NOTE: The Italian e-invoicing law requires you to send e-invoices to B2B customers with an Italian VAT number and to the Public Administration. You are not obligated to send e-invoices to foreign customers or to B2C customers.

However we advise you to use our integration for e-invoicing for foreign and B2C customers as well. This way you will not have to submit additional information to the Revenue Agency such as the Esterometro (a reporting system for transactions not covered by e-invoicing). Please keep in mind that B2C and foreign customers are not required to use an accredited tool to receive e-invoices. Italian B2C customers can find their invoices in their tax drawer of the Revenue Agency while foreign customers must still receive their invoice in a format they can use and open, for example the .pdf invoice generated in Teamleader Focus. To send an invoice to these customers you have to fill in the following Addressee Code:


  • '0000000' (7 times 0) for B2B customers
  • 'xxxxxxx' (7 times x) for customers with a foreign VAT number


  • Fill in, if necessary, all the other fields such as 'Document', 'Document Reference', 'DDT'(the Transport Document), the Provident Fund, the Stamp etc.


NOTE:

  • In the 'Document Reference' section you can insert references to contracts or orders from your company. The fields 'C.I.G.' and  'C.U.P.' are mandatory only when you send an invoice to the Public Administration. If you send a B2B invoice, these fields will be optional and concern tenders and projects. 
  • If you want to add Split Payment you can do so in the section 'Summary' in the 'VAT exemption' field 
  • The invoice that you've created in Teamleader Focus (.pdf) will appear in the attachments box and will be sent to the customer when you press on 'Send'. 
  • You can also click on 'Check Data' to make sure you didn't make any mistakes filling in all the data (ie. an error in the VAT number of the customer or the addressee code)


Send the invoice to the Italian Tax Agency (SDI)


Once you've checked all the data and you've filled in your invoice correctly, you can send it to the Tax Agency by clicking on 'Submit'.


The platform will ask you if you have set the correct sectional (ledger account) and will ask you one last time if you want to proceed with the submission of your invoice. Please bear in mind that if you proceed, you will no longer be able to modify your invoice. Click on 'Submit' and your e-invoice will be sent to the Italian Tax Agency. The invoice will now be moved from the 'Invoices in progress' section to 'Invoices issued'. Any communication coming directly from the Italian Agency of Revenue (Agenzia delle Entrate), will be shown directly on the homepage. 



Receiving e-invoices


You can inform your suppliers of your Addressee Code (Codice Destinatario) which you can find on the homepage of YouDOX.  It will enable your suppliers to send you an e-invoice by using their own software. You can find all the invoices of your suppliers in the section 'Received invoices' and export them (as you can also export your issued invoices) by clicking on 'View archive' and then on 'Export'.


NOTA BENE: We advice you to register your Addressee Code that Teamleader Focus provides you with as soon as possible. You can find it in your tax box ('cassetto fiscale') on the website of the Revenue Agency. We advise you to do so because some of your suppliers might not be using an accredited software tool for e-invoicing because they chose to send their e-invoices to their customers by using the PEC even if you've sent them your Addressee Code. This could mean that the invoices sent by your supplier do not appear in the 'Received Invoices' section. You can always import the invoices by clicking on 'Import for archiving only' and by uploading the .xml files you received through PEC. When you've added your addressee code in your tax box, the invoices from your suppliers sent via PEC will automatically be imported in the 'Received invoices' section. This way you will not have to do any manual work and you will be sure that ALL your received  invoices are in YouDOX.




Get in touch with your accountant


Every day, you will receive an email with a summary of all the invoices that you sent or received during that day. Moreover, both in the 'Received invoices' and the 'Invoices issued' section you can export the invoices so you can send them to your accountant.

But, there's more! You can also create a sub-user for your accountant so he can log into your account and view your invoices. In order to do so you have to:

  • click on 'Edit customer' on your homepage

  • click on 'create sub-user'
  • fill in the accountant's details and his e-mail address, which will become his login. You will be able to choose whether your accountant has 'read only' access or 'writing and reading'.
